Specialist, PMO & Membership Engagement

JOB PURPOSE

The Specialist, PMO & Membership Engagement is responsible for managing the PMO function, including monitoring and reporting, as well as serving as the secretariat of the Project Steering Committee (PSC). The incumbent shall also be responsible for the implementation of the AFI Engage program. Additionally, the role shall support the Head, PMO & Membership Engagement on governance matters, annual planning and implementation of AFI’s strategic phases, including the current Phase IV Strategy (2024-2028).

 

ACCOUNTABILITIES / KEY RESPONSIBILITIES

Project Management Office (PMO)

This function involves developing and implementing PMO processes, supporting Project Managers, and ensuring the alignment of projects with the organization’s strategic goals.

1. Oversight of AFI Projects:

  • Implement PMO processes to monitor progress and performance of all AFI projects, such as quarterly progress review meetings and review of reports from Project Managers.
  • Ensure complementarities across projects and identify redundancies and overlaps.
  • Proactively liaise with Project Managers to identify and mitigate risks and escalate issues to appropriate forums.
  • Prepare quarterly PMO report for ET/SMT.
  • Organize quarterly meetings of the Projects Steering Committee. Prepare minutes of PSC meetings and ensure actions arising are completed by relevant teams.

2. PMO management:

  • Maintain updated and complete documentation on AFI Projects in shared folder and/or PMO Dashboard.
  • Provide guidance and support to Project Managers and project teams as needed.
  • Continuously improve PMO processes and methodologies.

3. Reporting:

  • Review progress reports for funders prepared by Project Managers.
  • Review project evaluation and mid-term review reports and escalate concerns, if any.
  • Review extensions/ modification requests prepared for funders on on-going projects.
  • Prepare reports and updates as needed for internal and external stakeholders.

AFI Engage Program

As the AFI Engage Program administrator, this function involves leading and delivering the AFI Engage Program end-to-end.

1. Program planning and execution:

  • Develop and implement the program workplan, including scheduling, logistics, and resource allocation.
  • Manage and deliver all program activities, working closely with other AFI Business Units and external stakeholders.
  • Ensure the program aligns with the overall objectives and mission of AFI.

2. Participant engagement and support:

  • Serve as the primary point of contact for program participants, providing support and guidance throughout the program.
  • Facilitate communication and collaboration among participants, fostering a strong community.

3. Stakeholder Management:

  • Liaise with AFI leaders, external speakers, mentors, and partners to ensure successful program delivery.
  • Coordinate with AFI’s communications and marketing teams to promote the program and its activities.
  • Manage relationships with key internal and external stakeholders, ensuring their engagement and support.

4. Monitoring, evaluation and reporting:

  • Liaise with the M&E Unit to develop and implement a system for monitoring and evaluating the program.
  • Collect and analyze participant feedback to continuously improve the program.
  • Prepare reports and presentations as needed in relation to the program.

Strategic Planning

This function involves contributing to the annual planning process in AFI as well as the execution of AFI’s strategic phases, including the current Phase IV Strategy (2024-2028).

1. Annual Planning:

  • Support the Planning Team for development of AFI’s annual Corporate Strategic Plans, Scorecard and Operational Plans, including solicitation of inputs from BU and its consolidation, and delivery of the planning workshop.
  • Support in tracking progress against the approved Scorecard and its updates during mid-year review and for reporting to Board, as needed.
  • Assist in preparing management performance and progress reports for internal reporting to ET, Board of Directors (BOD) and AGM, as required.

2. Strategy:

  • Support the Head of Department (HOD) in delivery of AFI’s strategic phases, including the current Phase IV Strategy (2024-2028).
  • Assist the HOD on strategy related matters, including research, insights, and operational support as needed.

 

QUALIFICATIONS & EXPERIENCE REQUIRED

  • A bachelor’s degree in a relevant field such as business administration, international development, social sciences, or a related discipline. A master’s degree is preferred.
  • Minimum six (6) years of working experience in program management, preferably in the context of international development projects or non-governmental organizations.
  • Experience in developing and delivering leadership development, coaching and mentorship programs is highly desirable.
  • Experience working in diverse cultural contexts and in roles which require engaging with public sector entities (such as central banks or government departments) would be a strong plus.

  • Flexibility: Openness to working flexible hours with AFI’s regional teams and members that may be based outside the staff’s designated location.

 

KEY CHALLENGES

  • At times, the incumbent may have to work in different time zones as AFI members, regional offices, and colleagues are spread across the globe.
  • Multiple projects may run concurrently which are time-sensitive, demanding and of strategic priority to AFI, its members and stakeholders.
